SUMMARY:
This position serves as a representative for the Human Resources Department and is responsible for administrating selected HR functions. Responsibilities include maintenance of HRIS systems including applicant tracking, personnel, payroll software and file structure organization. An overall understanding of essential HR functions with expertise in using HR related software is required. This position requires a high level of confidentiality. The HR Administrator feeds and organizes systems with data about employees, changes data, updates data and works with mass HR administration processes. The HR Administrator is responsible for the compliance of personnel documentation within the appropriate regulatory framework (law, internal procedures, and internal policies).

ESSENTIAL DUTIES AND RESPONSIBILITIES:
Core duties and responsibilities include the following:
• Develop and implement the organizational file structure format for online and paper records.
• Review biweekly time recording for all staff to ensure compliance with FLSA, FMLA and adherence to personnel policies.
• Compilation and computation of FMLA time recording.
• Assist with entries into HR and Timekeeping systems.
• Maintain Applicant Tracking System.
• Create updated electronic forms and HR related documents.
• Prepare detailed plan, and calendar tracking for HR activities during the year.
• Ensure new staff members understand and utilize benefits programs by generating employee communications.
• Monitor key HR metrics, and provide decision support through HR metrics.
• Provide regular updates in both written and verbal formats to VP of HR.
• Recommend new software to address personnel needs, like performance review tools.
• Enter data about new hires to HRIS and prints all documentation for the employee and the personnel files.
• Communicate with employees about their documentation.
• Support HR projects and initiatives.
• Assist with new hire orientation and offsite recruiting.
• Organize, track and document learning and development programs.
• Run basic and standardized HR Reports.
• Maintain and create future organizational charts using charting software.

SUPERVISORY RESPONSIBILITIES:
• Carries out supervisory responsibilities in accordance with the organization's policies and applicable laws. Responsibilities include interviewing, hiring, and training employees; planning, assigning, and directing work; appraising performance; rewarding and disciplining employees; addressing complaints and resolving problems.

QUALIFICATIONS:

• This position requires successful completion of the level 2 background screening standards as set forth in s. 435.04, F.S.
• Able to work flexible hours when required.
• Valid Florida's driver license or State of Florida ID required.
• This position requires local travel to Palm Beach County office locations for meetings, trainings and other required duties.
• Bilingual in Spanish preferred.

EDUCATION AND/OR EXPERIENCE:
• Bachelor's degree (B.A.) from an accredited four-year College.
• Three to five years related experience and/or training.
• Knowledge of current Labor Law and best practices.
• Work history demonstrating progressively responsible professional experience.
• Documented HR administration skills.
• Excellent written and verbal communication skills.
• Ability to use high-level discretion and maintain a high level of confidentiality.

COMPUTER SKILLS:
Familiarity with HR and Payroll related software. An ideal candidate will be highly experienced using Database software; Spreadsheet software and Word Processing software. The candidate will have an advanced experience using Outlook in an Exchange environment, tech savvy over all, experience with Box/Dropbox, familiarity with Android and IOS, Windows 8 and 10 experience, and experience working offsite using portable scanners and laptops.

• While performing the duties of this job, the employee is regularly required to sit, talk, hear and use hands and fingers to operate and handle keyboards and office equipment. The employee required to walk and reach with hands and arms. The employee is occasionally required to stoop, kneel, crouch, or crawl.
• Occasionally lift and/or move up to 25 pounds.
• Must be able to sit for extended periods of time while performing job duties.
• Must be able to concentrate for extended periods of time, paying attention to detail.
• Must have a high level of interpersonal skills to communicate policies, procedures and objectives effectively.
• Must have analytical skills for assessing evaluating.
• Required to travel to other company location/clients sites.
• Must be capable of working under pressure as well as organizing and planning effectively.
• Requires frequent ability to move freely about the building.
• Requires corrected vision and hearing to normal range.
• Must be able to write for extended periods of time in order to complete necessary documentation.

• This position may require 25% or less local daily travel in Palm Beach County.
